Checkpoint Online is a site specifically designed to facilitate the process of Profiles Checkpoint 360° Competency Feedback System. This site allows you to setup/schedule track and control the printing of Checkpoint surveys for managers within your company. Minimum System Requirements Microsoft Internet Explorer version 4.x or above with latest service packs applied OR Netscape 4.x or above with latest service packs applied. To experience all of the functionality of this site, you will need to have the latest version of your browser with JavaScript and cookies enabled. The most current version of your web browser can usually be downloaded for free from the web site of your browser provider. Checkpoint Central Checkpoint Central is your main navigation page. This page allows access to perform all functions. Checkpoint Survey Administration The Checkpoint Survey Administration area provides options for setting up and checking the progress of your Checkpoint surveys. Additional options allow you to update contact information for respondents and manually enter survey responses. Setup a Checkpoint Survey This is where you setup/schedule the Checkpoint survey for the Participant (self) being evaluated. You must identify all of the people involved in the Profiles Checkpoint 360° Competency Feedback process. You must identify the boss, the self (which is the manager or participant that is being evaluated) and the respondents that will also be providing feedback. You are allowed up to 12 total respondents including the boss and self to participate in one (1) Checkpoint 360° report. There may be an additional charge for any respondents over the 12. In setting up a second boss for a Checkpoint, there may be an additional charge as well. The charge is for completed respondents, not for the numbers of respondents that are originally set up. Please contact your Profiles Representative for the details. The process is very simple. - First you must identify the participant or the "Self".
- Next you must identify the boss, which is the immediate supervisor of the "Self". If the "self" does not have a boss, or is in fact also the boss, you must set-up a respondent with the name "no boss" for the Checkpoint. This indicates to the Checkpoint processor that we are not waiting for the boss to complete before processing.
- You must then select a "Mailing Date". The Mailing Date is the date that the 360° feedback report will be processed by the Checkpoint processing center and be mailed to your Profiles representative. In selecting the Mailing Date, you must allow enough time for all respondents to participate in the process and anticipate the delivery via mail from the processing center located in Texas.
All reports are sent out UPS ground unless otherwise instructed. Contact your Profiles representative or a Checkpoint processor for other delivery requests. It is important you understand that you have the ability to extend the "Mailing Date" at anytime up until the date the report is processed. - You may also allow the boss and respondents to submit additional comments along with their feedback.
- If you are conducting a second Checkpoint 360 on an individual, you will be given the opportunity to request the comparison report format, which will compare the current feedback with that of the previous report.
- You must identify the respondents. Respondents normally fall into one of two categories. Either Peers, which are colleagues or team members associated with the participant; or Direct Reports, which are normally subordinates of the manager or supervisor.
- After identifying all the respondents, you are given the opportunity to review the setup of the Checkpoint.
- Review the summary information for accuracy. If any changes need to be made, you may edit your entries by using the "Edit this Checkpoint" button. If all the information is correct, you may activate the Checkpoint by clicking the "Activate this Checkpoint" button at the bottom of the page.
- The system will provide instructions to notify all of the respondents. Selecting "Notify All by Email" is recommended. The respondents will receive an email that will direct them to Checkpoint Online and provide instructions for completing the survey.
If for some reason a respondent does not have an email address, you will be responsible for printing the instructions and delivering them to the respondent. In addition, if a respondent also does not have Internet access, you must provide them with a response booklet. View Checkpoint Surveys This allows you look at all of the Checkpoint surveys that have been set up in your account. This functionality allows you to manage the workflow of all Checkpoints in progress, including sending email notifications, sending reminder notifications, changing the Checkpoint report "Mailing Date" and monitoring the status of completed respondent surveys. Other functions are as follows: - Adding respondent
- Requesting immediate processing
- Removing a respondent
- Discarding the checkpoint (Discarding does not mean you will be reimbursed for the meter. You must contact Profiles representative or a checkpoint processor for reimbursement.)
Respondent Manager This feature allows you to add or modify respondents in the Checkpoint system. Respondents' contact information is also updated from here. It is important that all contact information stay current in case they are used for future Checkpoints. Booklet Entry If for some reason the respondents that are participating in your Checkpoint Feedback survey do not have access to the Internet, you must contact your Profiles representative to facilitate using a booklet. Respondents and Privacy In order to ensure the privacy of peers and direct reports, it is recommended that at least two of a given type be assigned. In other words, if peers are to be involved in the Checkpoint, assign at least two peers to the survey. The initial setup of the Checkpoint will prevent the assignment of only one peer or direct report, but it is up to the client to assign at least two peers or direct reports when using the "Add a Respondent" function. Checkpoints with only one complete peer or direct report cannot be processed. You may request a comparison report for any individual who has been the participant in two or more Checkpoints in the past. To request a comparison report, follow these steps: - Click on "View Checkpoint Surveys".
- Click on "View Processed Checkpoints".
- Click on "Details" for a Checkpoint with the desired participant.
- Click on "Generate Comparison Report".
- You will be asked to select the Checkpoint to be used in the comparison.
- Click the "Request Comparison Report" button, which will deduct one meter from your account.
Meter Accounts The Meter Account area will display your current meter balance. Meters are required in order to set up and schedule Checkpoints. With out meters the Checkpoint cannot be activated or instructions distributed. View Meter Transaction History This option will display a log of all meter activities in your account. The log provides details on meters that have been added to your account by your Account Manager, and meters used for Checkpoint surveys. The name of the participant will be displayed when a meter is expended. Request Additional Meters This option will send an email to your Account Manager, and inform them that you require additional meters. Organizational Management Analysis Reports The Organizational Management Analysis Reports area provides options for setting up Organizational Management Analysis reports and viewing requested reports. Additional options allow you to view meter usage and request additional meters. Setup an Organizational Management Analysis Report This is where you setup/schedule Organizational Management Analysis reports. You must identify all individuals (Checkpoint self's) that will be included within this report and create a group name. You are allowed up to 200 individuals in one Organizational Management Analysis report. The process is very simple. - First you must create a group name. You are also allowed to create optional information such as an "Alternate Company Name" and "Description."
- Next, you must identify all individuals that will be included. If you select an individual that has completed more than one Checkpoint as a "self", the next screen you see will ask that you choose the specific Checkpoint that you want to include in the Organizational Management Analysis report.
- You will now need to confirm the setup and then commit the setup.
View Requested Reports This allows you to look at all of the Organizational Management Analysis reports that are in progress and that have been previously requested in your account. For reports that are in progress, you have the option of editing what is currently setup or deleting the current setup. For reports that have been requested, you have the option of reviewing the details of the report. View Meter Transaction History This option will display a log of all Organizational Management Analysis meter activities in your account. This log will provide details on meters that have been added to your account by your Account Manager, and meters used for Organizational Management Analysis reports. The description and user will be displayed when a meter is expended. Request Additional Meters This option will send an email to your Account Manager to inform them or your current meter balance and that you require additional meters. My Account Information The account information options allow you to edit your password and your user profile. It is very important that your email address stays current; otherwise you will not receive email notifications. Edit My Account Information This option allows you to edit you user profile, which includes your name (the name that prints on the final report), company name, address, phone number and email address. Change My Password This option allows you to change your Checkpoint Online password. You can only change passwords. Usernames cannot be modified.
